Managing Students
This guide covers everything you need to know about working with your student list in Conductly -- from adding new students to using bulk actions across your entire roster.
Adding a New Student
To add a student to Conductly:
- Navigate to Students in the sidebar.
- Click the Add Student button in the top-right corner.
- Fill in the student's information:
- First name and Last name (required)
- Email address
- Phone number
- Date of birth
- Instruments they play or want to learn
- Click Save to create the student profile.
You don't need to fill in every field right away. You can always come back and add more details later from the student detail page.
After creating a student, you'll be taken to their detail page where you can enroll them in sessions, link guardians, and more.
Viewing the Student List
The student list is your central hub for managing all students in your school. You can access it by clicking Students in the sidebar.
Grouping
The student list supports several grouping options to help you organize your view:
- Status -- Group students by their current status (Active, Prospective, Inactive, etc.)
- Instructor -- See which students belong to each instructor
- Session -- Group by the session students are enrolled in
- Instrument -- Organize by the instrument each student plays
To change the grouping, use the Group by dropdown above the student list.
Sorting
You can sort students by clicking the column headers. Common sort options include name, status, and date added.
Filtering
Use the filter bar to narrow down the student list. Available filters include:
- Name -- Search by first or last name
- Status -- Show only students with a specific status
- Age -- Filter by age range
- Instructor -- Show students assigned to a particular instructor
- Instrument -- Filter by instrument
- Session -- Show students enrolled in a specific session
- Scholarship -- Filter students who have an active scholarship
You can combine multiple filters at once to find exactly the students you're looking for.
Searching for Students
Use the search bar at the top of the student list to quickly find a student by name. Results update as you type.
Keyboard Shortcuts
Conductly supports keyboard shortcuts to help you navigate the student list faster:
| Shortcut | Action |
|---|---|
| S | Focus the search bar |
| C | Open the "Add Student" drawer to quickly create a new student |
| Up / Down Arrow | Move through the student list |
| Enter | Open the selected student's detail page |
Keyboard shortcuts work when no input field is focused. Click anywhere outside a text field to activate them.
Favoriting Students
You can mark students as favorites to make them easy to find in busy lists. Click the star icon next to any student's name in the list or on their detail page to toggle their favorite status.
Favorites appear in two places:
- Favorites group — When you group the Students list by "Favorites", your favorited students appear at the top in a dedicated group.
- Favorites filter — You can filter the list to show only favorited students.
Favoriting is per-user: each admin has their own favorites list, and favoriting a student doesn't affect other admins' views.
The Student Detail Page
Click on any student's name to open their detail page. This is where you manage everything about an individual student.
Basic Information
The top section shows the student's core details:
- Name, email, phone number, and date of birth
- Current status (with the ability to change it)
- Instruments
- Address
Click the Edit button to modify any of these fields.
Guardian Links
View and manage the guardians linked to this student. From here you can:
- See all linked guardians and their contact information
- Link a new guardian
- Remove a guardian link
- Set the billing guardian (the guardian who receives invoices for this student)
For more details, see Linking Students to Guardians.
Enrollment
View the student's current and past session enrollments. From the enrollment section you can:
- Enroll the student in a new session
- View enrollment details (instructor, schedule, dates)
- Unenroll the student from a session
See Enrolling Students for a full guide.
Credits
Manage prepaid lesson credits for the student. See Credits & Scholarships for details.
Scholarship
Apply or manage an ongoing scholarship discount for the student. See Credits & Scholarships for details.
Notes
Add internal notes about the student. Notes are visible only to your team and are useful for tracking conversations, reminders, or special circumstances.
Email History
View a log of all emails sent to the student or their guardians from Conductly.
Activities
The activity timeline shows a chronological log of everything that has happened with this student -- status changes, enrollment updates, invoice events, and more.
Favoriting Students
You can favorite students to keep them easy to find. Click the star icon next to a student's name to mark them as a favorite. Favorited students will appear with a highlighted star, making them easy to spot as you scroll through your list.
This is especially useful for instructors or administrators who work closely with a specific set of students.
Bulk Actions
When you need to make changes to multiple students at once, bulk actions save you time. Select students using the checkboxes on the left side of the student list, then choose from the available actions:
- Delete -- Remove the selected students (they can be restored later)
- Update status -- Change the status of all selected students at once
- Export to CSV -- Download the selected students as a spreadsheet file
- Save as group -- Create a new group from the selected students for future reference
Deleting students is reversible, but it will remove them from active views immediately. If you need to bring them back, see the section below on restoring deleted students.
Restoring Deleted Students
If a student was deleted by mistake, you can restore them:
- On the student list, look for the option to view deleted students (check your filter options).
- Find the student you want to restore.
- Click Restore to bring them back to your active student list.
Restoring a student will preserve their original profile, enrollment history, and guardian links.
Deleted students are kept in the system for a period of time before being permanently removed. Restore them as soon as possible if the deletion was unintentional.
