Lesson Requests

When your store's Online Booking policy is set to Request to book, self-booked private lessons don't land on your calendar automatically. Instead, each paid booking waits on the Lesson requests page for someone at your school to approve or decline it.

This gives you a human check before anything is scheduled — useful when your instructor availability in Conductly isn't always perfectly up to date.

Lesson requests only appear when the booking policy is Request to book. With Instant booking, lessons are scheduled the moment a family pays and never pass through this page. You choose the policy at Settings → StoreOnline Booking. See Store Settings.

Finding the page

Open Lesson requests from your school's navigation. The page lists every booking that is still waiting on a decision, oldest requested time first. Each row shows:

  • Student — who the lesson is for
  • Instructor — the requested instructor
  • Requested time — the date, time, and length of the lesson
  • Invoice — a link to the checkout invoice the family already paid (see Declining a request)
  • ActionsApprove and Decline

Once a request is approved or declined it drops off the list.

Approving a request

Click Approve to schedule the lesson. Conductly creates the lesson and adds it to the calendar for the requested instructor and time, assigning a room automatically if your school has rooms set up.

caution

The requested time is not held while a request waits for approval. If that instructor's slot was filled by something else in the meantime, approval will fail with a message telling you the time is no longer available. Pick a new time with the family, or decline and refund the request.

Declining a request

Click Decline to turn down the request. The booking is marked declined and the instructor's time is freed up.

warning

Declining does not refund the family. Families pay at checkout, before the request reaches you — so a declined booking has already been charged. Conductly does not issue the refund automatically, and it does not notify the family that the request was declined.

To refund, click the Invoice link on the request's row (it opens in a new tab) and issue the refund from the invoice. Reach out to the family separately to let them know.
