Notification Preferences

Notification preferences let you control which alerts you receive and how they are delivered. Each owner and admin customizes their own preferences -- changes you make affect only your account.

To manage your notification preferences, go to Settings > Notifications.

The Notifications settings page is available to owners and admins. Instructors do not have access to this page -- their Settings are limited to User Profile and Calendar Sync.


Notification Channels

Conductly supports two notification channels:

In-AppNotifications appear in your Inbox within Conductly. These are visible as soon as you open the app.
EmailNotifications are also sent to your login email address. Useful for staying informed even when you are not logged into Conductly. Email notifications are batched into digests.

You can enable or disable each channel independently for every notification type.


Notification Categories

Notifications are organized into categories to make them easier to manage:

Form Submissions

Alerts when new interest, registration, or marketing forms are submitted by families or adult students.

  • New Private Lesson Interest Form
  • New Registration Form Submitted
  • New Marketing Form Submitted
  • New Private Lesson Interest Form (Adult Student)
  • New Registration Form Submitted (Adult Student)
  • New Marketing Form Submitted (Adult Student)

The (Adult Student) notifications cover the same three forms submitted by a student who doesn't have a guardian on file -- they toggle separately from the family versions above.

Student Management

Updates about new prospective students entering your pipeline.

Billing & Payments

Stay informed about invoice status and payment activity.

  • Payment Received (First Invoice)
  • Payment Failed or Declined
  • Payment Returned by the Bank
  • Invoice Overdue (1+ invoices)
  • Multiple Invoices Overdue

  • Late Fee Added to an Invoice

Scheduling & Calendar

Make sure students are scheduled and lessons stay on track.

Looking for auto-invoicing activity?

Conductly no longer sends staff notifications for individual auto-invoicing runs (invoice generation, sending, or charging). Instead, check the Recent activity panel at the bottom of Settings > Invoices -- see Billing Automation for details.


Configuring Your Preferences

For each notification type, you can toggle:

  • In-App -- Whether the notification appears in your Inbox (enabled by default for most notifications).
  • Email -- Whether the notification is also sent to your email (disabled by default for most notifications).

To change a preference:

  1. Go to Settings > Notifications.
  2. Find the notification type under its category.
  3. Toggle the in-app or email switch on or off.
  4. Your changes save automatically.

Start with the defaults and adjust from there. Most schools find that in-app notifications are sufficient for day-to-day activity, with email notifications reserved for critical items like payment failures or overdue invoices.


Default Settings

When a new team member is added, they start with Conductly's default notification settings:

  • In-app notifications are enabled for all notification types.
  • Email notifications are disabled for all notification types.

Each owner and admin can then customize their preferences from Settings > Notifications.


Best Practices

  • Do not turn off everything. It can be tempting to minimize notifications, but some alerts (like payment failures and overdue invoices) require timely action. Keep at least in-app notifications enabled for critical items.
  • Use email for urgent items. If you are not logged into Conductly throughout the day, enable email notifications for the most time-sensitive alerts so you do not miss anything important.
  • Review preferences periodically. As your school grows or your role changes, your notification needs may change too. Check in on your preferences each semester.
