Report Templates

Report templates are pre-built reports that cover the most common questions music school administrators need answered. Instead of building reports from scratch, you select a template, set a date range, and view the results.

  1. Click Reports in the main sidebar.
  2. You'll see the report templates organized by category.

Template Categories

Financial Reports

Financial templates help you understand your school's revenue, billing, and payment activity.

Student Reports

Student templates help you track enrollment trends and growth.

Operations Reports

Operations templates help you monitor scheduling efficiency and resource utilization.

Running a Report

  1. On the Reports page, find the template you want to run.
  2. Click on the template name.
  3. Set the date range for the report. Most templates default to the current month, but you can adjust this to any range.
  4. Configure any additional filters if available (e.g., specific instructor, location, or course).
  5. Click Run Report (or the results may load automatically).

The report results will display in a table, chart, or summary format depending on the template.

tip

For financial reports, try running them for the current month and then again for the previous month to quickly compare performance.

Understanding Report Results

Report results typically include:

  • Summary metrics at the top (e.g., total revenue, total students, average attendance rate)
  • Detailed data in a table below, showing individual records
  • Charts or graphs where applicable, giving you a visual representation of the data

You can sort and filter the detailed data table to focus on specific items.

Saving a Report

When you find a report configuration you'll want to use again, save it:

  1. After running a report, click Save Report.
  2. Give it a descriptive name (e.g., "Monthly Revenue - All Locations").
  3. Click Save.

Saved reports remember your template selection, date range, and any filters you applied. You can access saved reports from the Reports page at any time.

Saved reports are not static snapshots. When you open a saved report, it re-runs with the saved configuration, so the data is always up to date.

Updating a Saved Report

  1. Open the saved report.
  2. Adjust the date range or filters as needed.
  3. Click Save again to update the saved configuration, or Save As to create a new saved report with the changes.

Favoriting Reports

If there are reports you check frequently, mark them as favorites for quick access:

  1. On the Reports page, find the template or saved report.
  2. Click the star icon next to the report name.

Favorited reports appear in a dedicated Favorites section at the top of the Reports page, so you can get to them with a single click.

To remove a report from your favorites, click the star icon again.

Favoriting is personal to your account. Each administrator can have their own set of favorite reports without affecting other team members.

Exporting Report Data

Most reports can be exported for use outside of Conductly:

  1. Run the report you want to export.
  2. Click the Export button.
  3. Choose your preferred format (CSV is available for all reports).
  4. The file will download to your computer.

Exported data can be opened in Excel, Google Sheets, or any spreadsheet application for further analysis.

Tips for Effective Reporting

  • Check reports regularly. A weekly review of key financial and enrollment reports helps you catch trends early.
  • Compare periods. Run the same report for different date ranges to see how metrics are changing over time.
  • Save your regulars. If you run the same report every week, save it so you don't have to reconfigure it each time.
  • Use favorites for your top reports. Keep your most important reports one click away.
  • Combine reports on a dashboard. For a comprehensive view, add your most important reports to a Dashboard.
