Quick Start Guide

Welcome to Conductly! This guide walks you through your first 30 minutes so you can start managing your music school right away. By the end, you'll have your school set up with a location, an instructor, a student, a course, and your first lesson on the calendar.

:::tip Before You Begin Make sure you have your login credentials from your welcome email. If you haven't received one, contact support@conductly.com. :::


Step 1: Log In to Conductly

  1. Go to app.conductly.com in your browser.
  2. Enter the email address and password from your welcome email.
  3. Click Log In.

You'll land on your Inbox, which is your home base for notifications, tasks, and updates.

:::info First-Time Login If this is a brand-new account, Conductly will display a Setup Guide overlay to walk you through initial configuration. We recommend following it — it covers many of the steps below. :::


Step 2: Complete the Setup Guide

The Setup Guide appears automatically for new accounts. It walks you through the essentials:

  • School Information — Your school's name, logo, time zone, and address
  • Locations — Where your lessons happen
  • Instruments — What you teach
  • Team Members — Your instructors and staff

You can also access the Setup Guide anytime from Settings in the sidebar.

Work through each section of the guide. If you want to skip ahead and come back later, that's fine — the guide tracks your progress.


Step 3: Add Your First Location

Locations represent the physical places where your school operates — buildings, studios, or rooms.

  1. Navigate to Teaching > Locations in the sidebar.
  2. Click the Add Location button.
  3. Enter a name for your location (e.g., "Main Studio" or "Downtown Building").
  4. Add an address if you'd like — this helps with directions and scheduling context.
  5. Click Save.

:::tip Rooms Within Locations If your location has multiple rooms, you can add rooms as sub-locations. This lets you schedule lessons in specific rooms and avoid double-booking. Click into your location and use Add Room to set them up. :::


Step 4: Add Your First Instructor

Instructors are the teachers at your school. Each instructor gets their own login and can view their schedule and students.

  1. Navigate to Teaching > Instructors in the sidebar.
  2. Click Add Instructor.
  3. Enter the instructor's first name, last name, and email address.
  4. Assign the instruments they teach.
  5. Click Save.

The instructor will receive an email invitation to set up their account. Once they accept, they can log in and see their own schedule.

Instructors can only see their own students and schedule — they don't have access to billing, other instructors' information, or school-wide settings.


Step 5: Add Your First Student

Students are the learners at your school. They can be linked to guardians (parents) for billing and communication.

  1. Navigate to Families > Students in the sidebar.
  2. Click Add Student.
  3. Enter the student's first name, last name, and any other details you'd like to track (email, phone, date of birth).
  4. If the student has a parent or guardian, you can link them now or add the guardian later.
  5. Click Save.

:::tip Adding a Guardian at the Same Time When adding a student, you'll see an option to create or link a guardian. Guardians are the billing contacts — invoices are sent to them, and they can log in to view their children's schedules and make payments. :::


Step 6: Create Your First Course

Courses define what you teach — they're the template for your lessons. Think of a course as "Piano Lessons" or "Group Guitar Class."

  1. Navigate to Teaching > Catalog in the sidebar.
  2. Click Add Course.
  3. Enter a name (e.g., "Private Piano Lessons").
  4. Choose the course type:
    • Private — One-on-one lessons between an instructor and a student.
    • Group — Multiple students in a single class.
  5. Select the instrument(s) associated with this course.
  6. Click Save.

After creating the course, you can set up a session — a specific instance of the course with an assigned instructor, schedule, and enrolled students.


Step 7: Schedule Your First Lesson

Now let's get a lesson on the calendar.

  1. Navigate to Schedule in the sidebar.
  2. Click on a date and time slot, or use the Add Event button.
  3. Select the course and session you just created.
  4. Assign the instructor.
  5. Add the student.
  6. Choose the location and room.
  7. Set the time, duration, and recurrence pattern (e.g., "Every Monday at 3:00 PM").
  8. Click Save.

Your lesson now appears on the calendar. The instructor and student will see it on their schedules too.

:::info Recurring Lessons Most private lessons repeat weekly. When you set a recurrence pattern, Conductly automatically generates all future occurrences. You can modify or cancel individual lessons without affecting the rest of the series. :::
