Forms Overview
Conductly's Forms feature lets you build custom forms to collect information from prospective students, current families, and anyone else you want to reach. Form responses can automatically create student and guardian records in your CRM, turning interested families into actionable data without any manual data entry.
How Leads Work
Conductly does not have a separate "Leads" area or Leads model. Instead, leads are represented as students in Prospective status. When someone submits a lead-capture form on your school's website:
- A student record is created (or updated if they already exist)
- The student's status is set to Prospective
- A guardian record is created and linked to the student (if the form collects guardian info)
- The submission appears on the Forms > Responses page for review
To work with your leads:
- View all leads: Go to Students and filter by status = "Prospective"
- Convert a lead to an active student: Change their status to Active (or use the registration workflow if a registration form is appropriate)
- Email your leads: Use the bulk email feature on the Students list with the Prospective filter applied
This model means your leads live alongside enrolled students in the Students list, making it easy to track their progression from lead to enrolled without moving between separate areas of the app.
What Are Forms Used For?
Forms are versatile and can serve many purposes for your music school:
- Registration forms -- Collect student and family information when new families sign up
- Interest forms -- Let prospective students express interest in specific programs or lessons
- Contact forms -- Provide a simple way for visitors to get in touch
- Surveys -- Gather feedback from current students and families
- Waitlist signups -- Manage demand when sessions are full
- Event registration -- Collect RSVPs for recitals, workshops, or open houses
How Forms Work
Here is the typical flow:
- Create a form -- Design your form with the fields and sections you need
- Publish it -- Make the form accessible via a direct link or embed it on your website
- Share it -- Send the link to families, add it to your store products, or embed it on your site
- Collect responses -- Families fill out the form and submit their information
- Review responses -- View and manage submissions from within Conductly
Automatic Record Creation
One of the most powerful features of Conductly forms is their ability to automatically create records in your CRM when a form is submitted.
When you create a form, you choose what status the student should receive after completing it:
| Student Status | When to Use |
|---|---|
| Prospective (Lead) | Lead-capture forms where the submitter is a potential family. Creates a prospective student record for follow-up. |
| Marketing | Newsletter or marketing opt-in forms. The submitter is added to your marketing list but not enrolled. |
| Registered | Registration forms where families have committed to enrolling. Students move to Registered status, which unlocks invoicing and other enrolled-student workflows. |
| Active | Forms where students should immediately become active (for example, an in-person sign-up where enrollment is already confirmed). |
This means that every form submission can turn into a student record with the appropriate status, ready for you to follow up, enroll, or manage.
Using the Prospective status for interest forms gives your team a clear pipeline of leads to follow up with. You can filter students by status to see all your prospective leads in one place.
Forms and the Online Store
Forms integrate directly with your Online Store. Instead of a standard purchase button, you can link a store product to a form. When families click the button, they are directed to complete the form rather than going through checkout.
This is especially useful for:
- Products that require an application or audition
- Programs where you want to review applicants before enrollment
- Offerings where you need additional information beyond what checkout collects
