Scheduled Messages

Instead of sending an email or text right away, you can schedule it for a specific future date and time -- useful for a recital reminder you want to write today but send next week, or a message timed to land first thing in the morning. Every message you schedule stays visible on Settings → Emails & SMS → Scheduled until it goes out.


Scheduling a Send​

  1. Open the email or SMS composer (from a student, guardian, or group page, or a calendar event popover) and write your message.
  2. Instead of clicking Send, click the small arrow beside it to open Schedule send.
  3. Pick a time:
    • A quick preset -- Later today (5:00 PM, only offered before 5 PM), Tomorrow morning (8:00 AM), Tomorrow afternoon (1:00 PM), or Monday morning (next Monday, 8:00 AM), all in your school's timezone -- or
    • Pick date & time for any specific moment.
  4. Confirm. You'll see a toast confirming the message was scheduled, with a View link to the Scheduled tab.

A scheduled text timed for outside Conductly's 8 AM–9 PM texting window isn't rejected -- it's held and sent at 8 AM instead, and the time picker warns you before you confirm.

A scheduled send has no Undo window -- since the message isn't going out immediately, you can just reschedule or delete it instead (see below) any time before it sends.


Viewing and Managing Scheduled Messages​

Go to Settings → Emails & SMS → Scheduled to see every email and text waiting to go out. Each row shows the message, who it's going to, and when it's scheduled to send. Click a row to preview its content -- the content itself can't be edited once scheduled, so to change what a message says, delete it and compose a new one.

Two actions are available on each row:

  • Change send time (pencil icon) -- opens the same date/time picker used to schedule the message, so you can push it later or pull it earlier.
  • Delete (trash icon) -- cancels the message. This can't be undone, but you can always compose it again.

Managing scheduled messages requires Settings access. Anyone can schedule a send from the composer, but only owners and admins (or team members with Settings permissions) can open the Scheduled tab to reschedule or delete one.


When a Scheduled Send Fails​

Conductly retries a scheduled send a few times if delivery doesn't succeed right away. If it still can't be delivered after those retries, the message is marked Failed rather than silently disappearing:

  • A red Failed badge appears next to the message on the Scheduled tab, and its send time is replaced with a Not sent note.
  • A red banner at the top of the page counts every failed message across all pages, so a failure isn't buried on page 2 of a long queue.
  • Owners and admins are notified -- both in your Inbox and by email, right away rather than in a batched digest -- so a failure doesn't go unnoticed just because nobody happened to open Settings that day. See Notification Preferences to change who's alerted.

From there, you have two options:

  • Retry sending (the circular-arrow icon replaces the pencil on a failed row) -- queues the message to send again. It goes out as soon as possible, usually within a few minutes, rather than at a freshly chosen time.
  • Delete -- removes the message for good, since it was never delivered to any of its recipients.

Only messages you deliberately scheduled for a future date and time are tracked this way. A message sent immediately that fails during its brief Undo window is a separate, much rarer case and isn't shown on the Scheduled tab or reported by this notification.


Best Practices​

  • Double-check recipients and content before scheduling. Once scheduled, a message's content can't be edited -- only its send time can. If you need to change the wording, delete it and start over.
  • Turn on email alerts for failed sends. A scheduled recital blast that fails at 9 AM is easy to miss if you're not checking your Inbox that moment -- the email notification (on by default) makes sure someone finds out.
  • Check the Scheduled tab after a known outage. If your email or SMS provider had an incident, failed messages will be waiting there with a Retry option once things are back up.
