Calendar & Scheduling Overview
The calendar is the central hub for managing your music school's schedule. Every private lesson, group class, and event lives here, giving you and your team a clear picture of what's happening at your school at any given time.
What You Can Do with the Calendar
- View your entire schedule across all locations, instructors, and students
- Create and manage events including private lessons, group classes, and general events
- Set up recurring events that repeat weekly, biweekly, or on a custom schedule
- Filter and group your calendar to see exactly what you need
- Navigate quickly between days, weeks, and months
Event Types
Conductly supports three types of calendar events, each designed for a specific purpose:
Private Lessons
One-on-one lessons between an instructor and a student. When you create a private lesson, you assign a specific student, instructor, location, and time slot. Private lessons are typically tied to a course session for billing purposes.
Group Classes
Classes with multiple students and one or more instructors. Group classes are connected to a course and can have a maximum number of participants. You can track enrollment and see at a glance how many spots are available.
General Events
Everything else -- staff meetings, recitals, open houses, practice sessions, or any other event you want on the calendar. General events are flexible and do not require a student or course assignment.
Getting to the Calendar
Click Calendar in the sidebar navigation to open the calendar page. From here, you can:
- Switch between views -- Choose Day, Week, Month, or List view depending on how you want to see your schedule.
- Navigate through time -- Use the arrow buttons to move forward and backward, or click Today to jump back to the current date.
- Filter your view -- Click the Display button to filter by location, instructor, student, or instrument.
- Create new events -- Click the Schedule button in the top right to create a new lesson, class, or event.
Use keyboard shortcuts for faster navigation. Press the left arrow and right arrow keys to move between periods in Day, Week, and List views.
How Events Appear on the Calendar
Events are color-coded by instructor, making it easy to see who is teaching what at a glance. Each event block shows key information like the event name, time, instructor, and location.
- Click an event to open a quick-view popover with essential details
- Click "Edit" in the popover to open the full event form for detailed changes
- Cancelled occurrences of recurring events appear with a strikethrough, so you can still see them on the schedule
The calendar respects your school's timezone settings. If your team members are in different timezones, the calendar automatically adjusts event times to display correctly for each user.
