Lesson Packs
A lesson pack is a fixed bundle of lessons a family buys upfront — for example, a 10-lesson pack for $500. The family pays once for the whole pack, and lessons are counted off as they're delivered. When the pack runs out, you renew it to bill the next bundle.
How Lesson Packs Work
A lesson pack is a mode of Per Meeting billing. The key difference: instead of billing open-endedly each period, a pack bills once for a fixed number of lessons (the pack size) and then counts how many of those lessons have been delivered.
How lessons are counted:
- Each delivered lesson counts as one lesson used
- Cancelled lessons do not count — if a lesson is cancelled, that lesson credit stays in the pack
- No-shows do count — the lesson was on the calendar and the time slot was reserved
When all lessons in a pack have been delivered, the pack is depleted. At that point, you (or Conductly automatically, if configured) bill the next pack to continue lessons.
Tracking Packs on the Purchases Page
All pack purchases appear on the Purchases page (sidebar: Invoices → Purchases). Each pack row displays a progress badge:
| Badge | Meaning |
|---|---|
| Pack · 5 of 10 · 5 left (blue) | 5 lessons delivered, 5 remaining |
| Pack · 10 of 10 · 0 left (amber) | Fully used — renewal needed |
The same badge appears on the purchase detail page, replacing the standard "Quantity" field.
Filtering and Sorting
Two tools help you manage packs across all your students:
- Lesson packs filter — Choose "Lesson packs only" from the filter to show only pack purchases
- Lessons Remaining sort — Sort by remaining lessons to surface nearly depleted packs at a glance
Renewing a Pack
Renewing a pack bills the next bundle at the same price and keeps the student's lessons going without interruption. The renewal creates a new purchase — the student's schedule doesn't change.
Renewing One Pack
- Go to Purchases in the sidebar
- Find the pack (use "Lesson packs only" filter to narrow the list)
- Open the row's actions menu and select "Renew pack"
- Confirm
You'll see: "Lesson pack renewed — the next pack has been billed."
Renewing Multiple Packs at Once
- Go to Purchases and filter to "Lesson packs only"
- Check the packs you want to renew
- Open the ⋯ menu and select "Renew packs"
- Confirm — Conductly bills each selected pack and creates the next one
Renewing Early
You don't have to wait for a pack to run out. If you want to bill ahead while lessons are still remaining, select "Renew pack early" from the row's actions menu. Conductly asks you to confirm since lessons are still remaining on the current pack.
Example: A student is on their 8th lesson of a 10-lesson pack. You renew early to bill the next 10 lessons now. The 2 remaining lessons on the current pack are still delivered before the new pack begins counting.
Early renewal works well for families who pay on a fixed schedule — like the first of the month — regardless of where they are in their pack.
Pack Renewal Settings
Under Settings → Invoices, in the "Lesson pack renewals" section, two controls determine what happens when a pack reaches its threshold:
When a pack runs low
| Option | What happens |
|---|---|
| Flag staff to renew (manual) (default) | You receive an Inbox notification when the pack hits the threshold — you renew it yourself |
| Auto-bill the next pack | Conductly automatically bills and renews the next pack the moment the threshold is reached |
Renew when lessons remain
This number sets how many lessons must be left before Conductly flags or renews. The default is 0 — Conductly waits until the pack is fully depleted.
Example: Set to 2 with "Auto-bill the next pack" selected — Conductly bills the next pack automatically when 2 lessons remain, so the family is already invoiced for continuity before the current pack runs out.
Pack Renewal Notifications
In manual mode (the default), Conductly sends a notification to your Inbox when a pack hits the renewal threshold. The notification shows:
- The student's name
- How many lessons remain (or that the pack is fully used)
- Which course the pack is for
- A "Renew pack" action that links to the Purchases list filtered to lesson packs
Each pack generates one notification — Conductly won't send repeated reminders for the same pack until you act.
